Getting Started
How does the free trial work?
You can upload up to 25 photos at no cost to see exactly how ProofList works. We'll deliver a sample Excel inventory spreadsheet so you can review the format and level of detail before deciding whether to continue. No credit card required.
What do I need to get started?
Just photos of your belongings. You can upload photos from your phone, computer, or cloud storage. No special preparation, labeling, or organization is needed.
How long does it take to receive my spreadsheet?
Most inventories are delivered within 4 hours of upload. Large uploads (more than 300 photos) can take up to 24 hours to complete.
Photos & Uploads
Is there a limit to how many items can be in one photo?
No. Multiple items per photo are supported. If a single photo includes several belongings, each identifiable item will be listed separately in your inventory. For best results, we recommend limiting the number of items in a single photo for clearer identification.
Do I need to organize or label photos before uploading?
No preparation is required. You can upload photos as-is. Clear, well-lit photos help with accuracy, but no sorting or labeling is needed.
What photo formats are supported?
We support all common image formats including JPEG, PNG, HEIC, and WebP. Photos from any smartphone or camera will work.
Can I upload photos from different sources?
Yes. You can upload photos from your phone, computer, Google Photos, iCloud, or any other source. Just download them and upload to ProofList.
Inventory & Results
What do I receive after uploading my photos?
You'll receive an Excel spreadsheet that includes photo thumbnails, item names and descriptions, categories, estimated replacement values, quantity, extended cost calculations, and links to comparable items online.
How accurate are the item descriptions and values?
Descriptions and pricing are based on visual identification and comparable market listings from major retailers. Values are intended to support insurance documentation and can be adjusted or supplemented if needed. Final valuation is determined by your insurer.
Can I edit the spreadsheet after receiving it?
Yes. The Excel file is fully editable. You can modify descriptions, adjust values, add notes, or remove items as needed. The formulas automatically recalculate totals when you make changes.
What if an item isn't identified correctly?
You can edit any entry in the spreadsheet. If you need help with a specific item, contact us and we'll assist with corrections.
Pricing & Payment
How is pricing calculated?
Pricing is based on the number of photos uploaded, not the number of items. The per-photo cost decreases as you move into higher-volume plans. See our pricing page for details.
Can I upgrade if I reach my plan limit?
Yes. If you reach your photo limit, you can upgrade at any time to a higher plan with a lower per-photo price.
Is there a subscription?
No. ProofList uses one-time pricing per inventory. You pay once and receive your complete spreadsheet. No recurring charges or hidden fees.
What payment methods do you accept?
We accept all major credit cards (Visa, Mastercard, American Express, Discover) through our secure payment processor, Stripe.

Security & Privacy
Is my data secure?
Yes. Your photos and inventory data are encrypted and stored securely. We use industry-standard security practices and never share your data with third parties.
How long do you keep my photos?
Your photos are stored securely for 90 days after your inventory is completed, allowing you to access and re-download your spreadsheet. After that, they are automatically deleted.
Who can see my inventory?
Only you. Your inventory is private and accessible only through your account. We do not share, sell, or use your data for any purpose other than generating your inventory.
